Privacy Policy & Personal Data Protection Notice (PDPA)

Novatraxx Sdn. Bhd. ("Novatraxx", "we", "us", or "our") strictly respects the privacy of every individual and commercial partner. This notice is issued in accordance with the Malaysian Personal Data Protection Act 2010 (PDPA) and applicable international data protection standards.

1. Collection & Use of Information

We collect personal and commercial data strictly necessary to fulfill corporate intelligence mandates, background authentications, and governance reviews. Information submitted through our encrypted online intake portal (e.g., email address, target parameters) is used exclusively for case intake, conflict checking, and client communication.

2. Data Security & Retention

All client inputs and case files are encrypted in transit and at rest. We do not sell, rent, trade, or share personal or corporate information with commercial third parties.

3. Individual Rights

Data subjects maintain statutory rights under the PDPA to request access to or correction of personal data retained within our administrative files, subject to lawful verification and legal privilege exemptions.

Confidentiality & Zero-Knowledge Data Insulation Policy

Confidentiality is the cornerstone of Novatraxx operations. We enforce absolute data insulation and legal privilege across every engagement, from initial intake query to final dossier release.

  • Mutual Non-Disclosure Agreements (NDAs): Every formal client mandate is executed under binding NDA protections prior to operational work.
  • Air-Gapped Processing: Analytical research, registry cross-corroboration, and report drafting occur within isolated digital sandbox environments.
  • Post-Closure Cryptographic Archiving: Upon final dossier delivery and case closure, client case files are cryptographically archived and purged from active production servers.

Anti-Bribery & Anti-Corruption (ABAC) Policy

Novatraxx enforces a strict zero-tolerance policy against bribery, extortion, kickbacks, and corruption in any form, aligned with Section 17A of the Malaysian Anti-Corruption Commission (MACC) Act 2009 and global anti-corruption standards (FCPA, UK Bribery Act).

Novatraxx directors, officers, analysts, and partners are strictly prohibited from offering, soliciting, giving, or receiving any bribe, monetary inducement, or improper benefit to influence public officials, corporate executives, or registry custodians.

Ethics, Integrity & Lawful Data Extraction Statement

Novatraxx conducts all intelligence gathering and background assessments strictly through lawful, ethical channels. We do not engage in unlawful hacking, illegal wiretapping, unauthorized data breach exploitation, or deceptive misrepresentation.

Our Research Methodologies Focus Exclusively On:

  • Official Public Registry Inspections (SSM, Registrar of Companies, Official Gazettes, Insolvency Databases).
  • Judicial & Court Record Inspections (High Court, Sessions Court, Litigation Filings).
  • Lawful Open-Source Intelligence (OSINT), Media Archives, and Corporate Disclosure Filings.
  • Human Source Verification and Industry Expert Interviews conducted lawfully.

Whistleblower & Conflict of Interest Policy

Prior to initiating Phase 1 Intake for any new mandate, Novatraxx conducts an automated conflict-of-interest check across our internal case registry to ensure complete independence and objective reporting.

In the event of a commercial, legal, or advisory conflict of interest involving an existing client, counterparty, or target entity, Novatraxx will decline the engagement immediately to maintain absolute institutional integrity.

Client Acceptance & Sanctions Screening Policy

To uphold public safety and regulatory compliance, Novatraxx executes client onboarding checks prior to executing mandates. We reserves the right to decline services to prospective clients involved in criminal syndicates, unlawful money laundering, terrorism financing, or international sanction lists (UNSC, OFAC).

All professional engagements are governed by formal Scope of Work (SOW) documents, defined Service Level Agreements (SLAs), and transparent pricing schedules.

Corporate Intelligence Retainers operate on recurring monthly terms, guaranteeing rapid-response research windows and priority case queue allocation for subscribed clients.
